How to check in event guests with QR codes
To check guests in with QR codes, send each guest a unique QR ticket when they register, then scan it at the door with a phone: a valid ticket lets them in and marks it used.
Here is how to set it up with Eventera in five steps, including what to do when a guest has no ticket.
Step by step
- Send every guest a QR ticket Eventera emails a unique QR ticket the moment someone registers or their payment is confirmed.
- Prepare your door team Turn on the door code and share it. Volunteers open it on their phones, no account needed.
- Download the guest list for offline use If the venue has weak signal, scans are saved on the phone and sync later.
- Scan at the door Green means in. "Already used" shows when and by whom the ticket was first scanned.
- Handle the exceptions Search a name for a guest without their phone, or add a walk-in and check them in on the spot.
Tips for a fast door
- One scanning phone for every 150 to 200 guests at peak time
- Ask guests to open their ticket before they reach the door
- Put the live count on a screen so the team sees the flow
